Creative Writing Club Constitution

  1. Name of Organization: The official name of this organization shall be The Aims Creative Writing Club (ACWC).
  2. Mission Statement: The mission of ACWC is to provide an environment and community within Aims Community College where all writers can come and freely express writing skills and knowledge, while also providing a positive environment to provide feedback among members.
  3. Membership Composition: This organization defines membership as being limited to students, alumni, staff and faculty with an active Aims email.
    1. Voting Members

To be a voting member of an Aims Student Organization the member must be an enrolled Aims student. Aims employees who are not students, (including advisors) are not permitted to vote on any organization motion.

  1. Active Members

For a student to be considered active, they must have participated in an organization meeting, activity, or online discussion within the last month. If they have not engaged with the org in that time, they will be determined to be inactive for voting purposes until their attendance resumes. However, members are also welcome to participate through our Discord channel and voting may be done asynchronously when needed for this reason.

 

  1. Aims Student Code of Conduct Section 5: Discrimination and Harassment

“The College prohibits discrimination and harassment in its treatment, access to, admissions to, or employment in the administration of its educational programs, admissions policies, scholarship and loan programs, athletics programs, employment, or in any other College programs or activities on the basis of an individual’s protected characteristics. (See College Policy 509)

Discrimination is any conduct that treats a person or group unfavorably or differently because of that person’s (or group’s) age, race, color, religion, sex, gender identity, gender expression, sexual orientation, national origin, disability, genetic information, marital status, veteran status, or other legally protected status.

Harassment is verbal or physical conduct that is unwelcome and so severe or pervasive to create a work or educational environment under both an objective (e.g., a reasonable person’s view) and subjective (e.g., from the viewpoint of the subject of the alleged conduct) standard that it has the purpose or effect of unreasonably interfering with a person’s (or group’s) academic or work performance or creating an intimidating, hostile, or offensive educational or working environment, otherwise known as a “hostile environment”. Harassment may be a form of discrimination when it targets a person (or group of persons) on the basis of that person’s (or group’s) age, race, color, religion, sex, gender identity, gender expression, sexual orientation, national origin, disability, genetic information, marital status, veteran status, or other legally protected status.”

  1. Officers:
    1. President: The President’s duties shall be as follows:
  1. Preside over all executive and membership meetings.
  2. Represent the Aims Creative Writing Cluband its members at all times.

iii. Oversee the actions and duties of all other officers.

  1. Meet with organization advisor on a bi-weekly basis at minimum.
  1. Vice President: The Vice President’s duties shall be as follows:
  1. Handle internal functions of the organization, including recruitment activities.
  2. Assist President in fulfilling the goals of the organization.

iii. Assume duties of the President if office becomes absent.

  1. Treasurer: The Treasurer’s duties shall be as follows:
  1. Keep financial records updated and accurate.
  2. Serve as liaison between Aims Creative Writing Cluband the SGA.
  1. Secretary: The Secretary’s duties will be as follows:
  1. Keep accurate history and records of Aims Creative Writing Clubs activities and meetings.
  2. Write and distribute meeting minutes for each meeting.

iii. Keep records of communications and correspondences.

  1. Maintain inventory of Aims Creative Writing Clubowned supplies
  1. Member Behavior: As a member of the Aims Creative Writing Club you are expected to conduct yourself with respect and professionalism at all times. Disruptive or disrespectful behavior will not be tolerated and may result in disciplinary action.
    1. Addressing Negative/Inappropriate Behavior
  1. Initial Warning: An organization officer or advisor will issue a verbal warning to the member or use chat in Discord or Zoom as needed.
  2. Written Warning and Follow-Up: If the behavior continues, a written warning will be issued, and the member will meet with the organization president and advisor. Mediation principles will be followed.

iii. Further Escalation: If the behavior persists, the member will meet with the organization president, advisor, and a Student Life Representative

  1. Note: if any member or advisor feels there is an issue, there is an issue, and this series of steps will be followed.
  1. Student Code of Conduct Violation:
  1. For offenses that violate the Student Code of Conduct, the member may be reported to the Dean of Students
  1. Decision-Making Model: The Aims Creative Writing Club shall use a 51% majority vote to make its decisions. Only voting members are eligible to vote on business items. Members not present at the time of voting shall relinquish their right to vote. 3 of 4 officers (or 1 of 2, or 2 of 3, depending on how many officers we have each semester) and 1/3 of the active members will constitute a quorum for the purposes of decision-making. Voting can happen asynchronously as needed to include Discord members.
  2. Meetings: Meetings will be held every week in person and on Zoom and Discord and are open to all officers, members, and anyone interested in learning more about the Aims Creative Writing Club. Meetings will be held over breaks if students and advisors agree but there will be no voting on official business outside the regular semester.
  3. Advisors: The Aims Creative Writing Club will aim to have two advisors at all times. Advisors can be Aims faculty or staff who are interested in the mission of the organization.
    1. Advisor duties include mentoring students, assisting officers in learning how to execute their duties, and attending most organization meetings and activities (only one advisor must be present at each meeting and activity).
  4. Funding: Aims Creative Writing Club shall receive funding in four ways:
    1. Fund-Raiser: Aims Creative Writing Club will hold at least one fund-raiser each year.
    2. Student Life: Aims Creative Writing Club shall receive money from the Student Life office in exchange for compliance with policy and participation in identified Student Life-sponsored events.
    3. Student Government Association: Aims Creative Writing Club may request additional funds if necessary.
  5. Beneficiary Clause: If the Aims Creative Writing Club is deactivated or suspended, all remaining organization funds will first be used to settle any outstanding expenditures, and then will be distributed to The Aims English Honor Society by way of direct fund transfer.
  6. Constitutional Amendments: This constitution may be amended by a 2/3 majority vote of the active student membership. Proposed amendments must be presented at two consecutive meetings or two weeks of Discord postings for discussion prior to the vote (which can take place at the second meeting).
  7. Enabling Clause: This constitution was voted on and put into effect on
